The Civil / Structural Asset Management Work Coordinator will be part of the asset team and will support the preparation, planning and administrative assurance of civil maintenance and inspection activities for industrial structures and building assets.

The role is strongly data-driven and largely office-based. It requires extensive work with maintenance plans, work orders, documentation, asset data and recurring maintenance tasks. The Work Coordinator translates plans and defined work into executable supplier assignments and ensures that interventions are prepared safely, efficiently and in line with technical and compliance requirements.

• Project objectives: ensure safe, efficient and predictable execution of civil maintenance and inspection activities.
• Scope: work preparation, planning, supplier assignments, documentation, work orders, safety and risk instructions, inspection preparation and execution follow-up.
• Context: the Asset Management Engineer defines plans and technical measures; the Work Coordinator turns defined work into clear, practical and data-backed assignments.
• Key stakeholders: AM engineers, inspectors, contractors, suppliers, operational teams, production stakeholders and maintenance teams.
• Business drivers: structural reliability, safety, compliance, lifecycle-cost control, efficient contractor coordination and high-quality asset data.

Primary Tasks and Responsibilities

Core Responsibilities
• Ensure high-quality preparation, planning and administrative assurance of civil maintenance and inspection activities.
• Translate defined work into clear assignments for suppliers, including conditions, risks and execution context.
• Plan civil maintenance activities while considering stakeholder availability, asset criticality and site constraints.
• Prepare inspections, including access arrangements, safety measures and required documentation.
• Request and assess offers for scope conformity, execution conditions and feasibility.

Coordination and Execution Follow-up
• Coordinate and guide suppliers during maintenance and inspection activities.
• Monitor quality and safety on the work floor within agreed conditions and constraints.
• Follow up planning and progress and escalate deviations in a timely manner.
• Collect execution data for further analysis by the Asset Management Engineer.
• Support smooth handover and close-out through accurate execution and completion documentation.

Documentation and Data Management
• Update asset files after interventions and inspections.
• Register work orders in EAM systems and maintain accurate work-order documentation.
• Validate inspection reports for completeness and technical accuracy.
• Support RCA and degradation analysis by providing correct and traceable data.
• Work consistently with EAM systems, DMS platforms, inspection databases and civil measurement or inspection tools.

Stakeholder and Compliance Management
• Act as the link between AM engineers, inspectors, contractors and operational teams.
• Coordinate stakeholder input to ensure maintenance and inspection activities can be executed safely and efficiently.
• Safeguard non-conformity handling within assignments and execution frameworks.
• Ensure correct use of data in EAM and DMS systems in accordance with internal procedures.
• Prepare deliverables such as supplier assignments, planning overviews, safety and risk instructions, permits, work-order documentation, inspection preparation files and completion reports.

Operational Work Preparation
• Consult maintenance plans and recurring maintenance tasks and translate them into well-prepared execution packages.
• Identify practical opportunities and data gaps during work preparation and coordinate next steps with the Asset Management Engineer.
• Maintain accuracy and consistency in repetitive, PC-based and data-driven work activities.
• Ensure that suppliers, engineers and inspectors have the information required to work correctly, safely and with minimal downtime.

Technical Profile Requirements

Mandatory Requirements
• Bachelor’s degree in Construction Engineering, Civil Engineering or equivalent, or relevant experience in civil maintenance or industrial work coordination.
• 2 to 5 years of experience in civil work coordination, maintenance or inspections.
• Experience with work-order management, planning and coordination, technical documentation and supplier management.
• Strong data accuracy and documentation discipline.
• Ability to translate technical work packages into practical assignments for suppliers and contractors.
• Practical understanding of safety, risk instructions, permits and execution constraints in an industrial environment.

Preferred Requirements
• Medior profile with strong structure, accuracy and ownership is suitable.
• Experience with EAM systems, DMS platforms and inspection databases.
• Experience in civil or building maintenance in an industrial site environment.
• Experience coordinating suppliers or contractors during maintenance and inspection work.
• VCA is not required, but awareness of safety requirements in industrial environments is useful.

• Communication skills: clear, precise and assertive communication with engineers, inspectors, suppliers, contractors and operational teams.
• Leadership capabilities: able to coordinate suppliers and guide execution preparation while maintaining focus on safety and quality.
• Stakeholder management skills: able to act as the central link between AM engineers, contractors and operational stakeholders.
• Problem-solving capabilities: practical, structured and able to identify missing information, execution risks and documentation gaps.
• Other relevant soft skills: highly organized, detail-oriented, safety-conscious, result-oriented and comfortable with repetitive data-driven office work.

• Methodologies: work coordination techniques, risk analysis and criticality-based thinking.
• Tools: EAM systems, DMS platforms, inspection databases and civil measurement or inspection tools.
• Certification: no specific certification requirements defined by the client.
• VCA: not required by the client, but useful in an industrial site context.
• Training requirement: not specified by the client.

Location

• Work location: Hoboken, Belgium.
• Remote working possibilities: The role requires full-time onsite presence in Hoboken. Occasional homeworking may be permitted, subject to prior alignment and approval from the manager.
